Title: Human Resource Assistant

Department: Corporate

Reports To: Director of Human Resources

SUMMARY: Responsible for providing administrative support to the HR function as needed (e.g. correspondence generation, record keeping, file maintenance, HRIS entry). This position supports the HR department by screening applicants; with data entry; orienting new employees and records.

PRIMARY WORK SHIFT: Monday through Friday 8AM – 5PM. May vary depending on workload.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Include the following - Other duties may be assigned:

  • Completes payroll processing and benefit related tasks; facilitates and communicates resolutions to payroll errors and or benefit related issues within skill set and knowledge base.
  • Responds to potential candidates and employee inquiries within skill set and knowledge base; seeks assistance from the Human Resources team when necessary.
  • Assists with recruitment activities, including set up and participation in job fairs and other recruitment events as needed.
  • Assists with posting open positions, gathering new applicant information, contacting references, and maintains communication with potential candidates.
  • Assists potential candidates with travel arrangements ensuring excellent customer service, while maintaining a positive first impression.
  • Responsible for securing appropriate housing each year for summer interns.
  • Manages the service awards program including planning service awards luncheons, purchasing retirement/service awards gifts as well as developing and distributing service awards and communication.
  • Maintains employee files as outlined with in the record retention policy, including but not limited to; personnel, workers compensation, and medical files.
  • Manages human resources section of the company intranet, updating forms, training and other related documents as necessary.
  • Assist with compiling HR related data and information to complete required reports; prepares spreadsheets.
  • Processes incoming phone calls and distributes mail.
  • Assist with HR related mailings including but limited to, MIP letters, wellness communication, new hire information, etc.
  • Seeks assistance from the members of the Human Resources team when necessary.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • A minimum of an Associate’s Degree or equivalent required. A Bachelor’s Degree in Human Resources or a related field preferred.
  • Two years of Human Resources experience required.
  • Strong Skills in Microsoft Office including Excel, Word, and Power Point.
  • Must have exceptional time management skills.
  • Ability to maintain confidentiality at all times and understand the intimacy needed for maintaining personnel files and other documents.
  • Well spoken, articulate and courteous verbal, written and phone correspondence.

LANGUAGE SKILLS:

Ability to read and comprehend instructions, correspondence, memos, procedures, and plans. Ability to write reports, complete checklists and other basic documentation and correspondence. Ability to effectively and professionally present information or data in one-on-one and small group situations to co-workers, supervisors, and managers.

MATHEMATICAL SKILLS :

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Must have ability to read and comprehend basic financial statements and other business related documents.

REASONING ABILITY:

Must use common sense and solid judgment when making decisions. Must have ability to quickly recognize and plan for rapidly moving and changing work schedules and event calendars.
